It is important to note that an Xtend engagement is not limited to just one queries document. The standard queries document provided, known as the Request for Information (RFI) document, is simply a basis for you to work with. At any point, additional query documents can be created by users for the purpose of separating client requests - be it for minimising the amount of information to be received in one query document, building query documents for specific contexts and needs, or isolating who they are sent to.
In this instance, we highlight the circumstance in which you may need to request sensitive information from a client. The suggested approach here is to create a specific query document that is intended to be received by said client. To create a query document, simply navigate to the documents screen of your Xtend engagement and select the plus icon from the top of the folder, or alternatively the plus at the top of each phase section, and select query.
This will insert a brand new query document into your engagement - you can customise the contents of this query document by adding groups and queries outlining the information you require from the client. For more guidance on customising query documents please click

Once the query document has been tailored appropriately, select the send button and identify the client contact you wish to send the query document to. You can use the search contacts bar to select from a list of existing contacts assigned to the entity, or assign the query to all contacts of the entity.
If needed, you can also select the create new contact button to add an additional contact to the entity, and then send the query to them.
Only the contact(s) you've specified will receive an email notification of the activity, and a link to the relevant query document. Once accessed it will display in a web browser and allow the contact to respond to the information requests you have sent.
Please note: only the Contact that has the query document sent to them will be able to view and respond to it. No other Contacts will be able to view their responses or the documentation they upload to the Query. If multiple Contacts are sent the same query document, then they will be able to see all documentation and responses submitted by other contacts through that query.
Upon responding to the query document, the contact's work is complete and you will now be able to review and accept the information on your end.
