Requesting an electronic signature from a contact

Within a query form, users are now able to request electronic signatures from contacts using our 'Simple Electronic Signature' function. This FAQ is split into two sections:

  1. How do I request an electronic signature from a contact?
  2. How do contacts provide an electronic signature? 

How do I request an electronic signature from a contact?

1. Open up a query form within your cloud-based engagement i.e. Agile Audit, SMSF, Xtend.
Select to add in a new 'Simple Electronic Signature' procedure by hovering over blank space, and when prompted, clicking on the blue plus icon.



2. Fill out the query question details and upload documentation that you want the contact to sign off on. 





Note: The document you attach must be a PDF. Word and excel documents will not be accepted as they are not static.

3. When editing of the query form is complete, send the form to relevant contacts.



4. Await response from contact. When the contact has signed electronically, sign-off date and time will be captured within the procedure. However, there is also an option to download the signature log, which provides further details regarding signer IP and location.




5. Accept the contact's response to complete the query. Select 'Return to contact' if you wish to reopen the query question e.g. this may be because the document was signed by the incorrect person.



How do contacts provide an electronic signature?

1. Contacts will receive an email notification when a query form has been sent to them. Upon logging in to the firm cloud, they will find an overview of work assigned to them. 



2. Click into the relevant subject - in this example, it is the 'Request for Information' document. Scroll down to the procedure(s) requiring an electronic signature, and select 'Action Required'. Select to 'Accept electronically'.  



3. The following dialog will occur. Click 'Accept' to sign electronically.
  1. If you wish to include your geographic location in the signature log, select 'Allow' in the location pop-up message. Select 'Block' if you do not want your location to be included in the log.
  2. There is also a space for additional commentary should you need to provide further information to the sender.



4. Once you have accepted, and thus signed electronically, you will have the option to download the signature log (see above for what the signature log contains). If you are satisfied with your response to this procedure, select the circle icon to mark it as complete. This will close off this procedure from further action.
